How does the Single Registration work?

One of the main benefits of using a Group of Promotions is the Single Registration functionality. With Single Registration enabled, users who enter the different promotions of a group will only be required to fill in their personal details once.

In order to enter an individual promotion users will always be asked to complete a registration form with their information. If a user enters a promotion that is part of a group that has 'Single registration' enabled, the user will only be asked to fill in the registration form if:

  1. It's the first time that enters a promotion of the group.
  2. The user enters a promotion of the group where registration information or action is required and this information wasn't required in a previous promotion of the group.

In any other situation, the application will detect that the user already entered another promotion of the group, and will copy the previous registration information to the following promotions the user registers to.

Therefore, if Single registration is enabled, users will only be required to fill in the same personal details the first time they enter a promoton of the same group.

 

Practical examples of Single Registration option

 

Example 1

A group is composed of 5 daily sweepstakes, and for each sweepstakes the following information is required: User name, email, phone number and postal code. When a user enters the first sweepstakes, a registration form will be displayed in order to register this information. For the following sweepstakes he enters, the user will not be required to register his details again, and he will not be required to fill in any other form.

For each daily sweepstakes, administrators will be able to access the list of participants from the administration panel, and they will be able to export complete users' information of each sweepstakes to Excel or CSV.

 

Example 2

A group is composed of 10 promotions where each promotion asks the same registration information, por example: Name, email and city. However, each promotion shows a different question or quiz. In this case, the user will be requiered to fill in the registration form with his Name, email and city the first time he enters. When he enters a new promotion of the group, he will only need to answer the question or quiz, but he will not need to fill the registration form again.

 

Example 3

A group is composed of 4 promotions where the following information is asked to the user:

  1. Promotion 1: Name, email, and upload 1 picture.
  2. Promotion 2: Name, email, address and answer a question.
  3. Promotion 3: Name, email, address and upload a video
  4. .Promotion 4: Name, email and upload a new picture.

A user enters for the first time in a promotion of the group and starts with Promotion 1. When he enters he will be required to fill in the registration form with Name, email and upload a picture. When he enters Promotion 2, he will only be required to complete the address and answer the question. When he enters Promoion 3, he will only be required to upload the video. Finally, when he enters Promotion 4, he will only need to upload 1 picture.

Continuing with the same example, if the user starts with Promotion 3, he will be required to fill in the registration form with Name, email, address and upload a video. If he continues then with Promotion 4, he will only need to upload a picture. If he later goes to Promotion 2, he will only be required to answer the question, and finally, in Promotion 4 he will only need to upload a picture.

 

How can I enable Single Registration option and what is the Master Promotion?

Single Registration functionalilty is an option of the group and can be activated from the group managment page, as it's shown in the image below:

Upon enabling Single Registration option, the application will ask us to select the Master Promotion. The master promtoion is the one in the group that will be used as reference for the Single Registration, in  order to determine the minimum fields requested to the users. For example, if the promotion that we have defined as the master always asks the Name, email and postal code, the application will always register this information for the rest of the promotions in the group.

 

Note

Only those fields enabled in the Master Promotion will be considered as minimum fields requiered, and they must match one of the following groups:

  1. a predefined field (name, email, city, phone number, date of birth, country and gender)
  2. a custom field
  3. a verification/opt-in checkbox

Therefore, participation fields (Comments, photo and video) and questionnaires (quiz, survey, test), are not part of the minimum fields required and can not be copied among promotions.

 

What information do administrators obtain and how can they access the list of participants?

Thefunctioning is exactly the same as with a promotion that doesn't belong to a grup. Administrators will be able to access the list of participants from the promotion managment page, and from there he will be able to access all the users' information requested to enter the promtion. All this information can be exported to an Excel/CSV file.

 

 

How do users accept the Terms and Conditions when Single Registration is enabled?

When the Single Registration is enabled, the application will take into account the Terms and Conditions of the group instead of the Terms and Conditions of an individual promotion. Therefore, when Single Registration is enabled users will accept the Terms and Conditions once when they enter one of the promotions of the group for the first time.

Note: If the Single Registration is enabled and administratos have not included Terms and Conditions for the group, users will not be required to accept the Terms and Conditions. 

 

Suggestions to set up promotions with Single Registration

When the Single Registration is enabled for a group, we suggest you to take into account the following considerations regarding the setting up of individual promotions of the group:

  • Before starting the campaign, consider what information you want to require in each promotion.
  • Start setting up a single promtion, and then select it as the master promotion of the group.
  • In the master promotion, specify the minimum registration fields required in all promotions of the group.
  • Once the master promotion is created, create the rest of the promotionsof the group. Use the 'Copy' function so that you don't have to start from scratch, and only apply the changes that affect each promotion.

Note: In case an individual promotion isn't configured with a minimum field that it is required in the Master Promotion, the application will automatically configure this field, since it is a required field in the Master Promotion.
